MAS vStock - Privacy Policy

This privacy policy explains how the MAS vStock mobile application ("the app") handles information. The app is published by MasterSoft (H.K.) Limited ("MasterSoft", "we", "us") as part of the MAS product suite.
On Google Play, the app is distributed by our affiliate Salezbird, which develops the MAS mobile apps and appears as the developer on that store. Both companies are part of the same group and handle your information under this policy.
MAS vStock is a mobile stock and product enquiry tool for MAS, business software sold by MasterSoft to companies of all sizes across a wide range of industries. Existing MAS customers activate the app with a code issued by their company administrator. Anyone interested in MAS can also send an enquiry from the app's first screen without activating it.
Summary
The app does not collect personal information from stock and product use.
If you choose to send an enquiry, we collect only the contact details you type into that form.
The app does not use analytics, advertising, or tracking of any kind.
The app does not share any data with third parties for their own purposes.
The only information stored on the device is an activation token and your company's identity, used to keep you signed in.
All communication with our servers uses encrypted HTTPS.
Information the app collects
Normal use (stock and product enquiry)
The app does not ask for, collect, or transmit any personal information in order to show you stock and product data. There is no account registration, no name, no email address, no phone number, and no payment details.
Access is granted by an activation code issued to you by your company's administrator. The code identifies your company, not you as an individual. We do not know which individual person is using a given device.
The app does not access your location, camera, microphone, contacts, photos, files, or any other personal data on your device. On Android it requests only two permissions:
INTERNET - to retrieve stock and product data from the server.
ACCESS_NETWORK_STATE - to detect whether the device is online and show a clear error if not.
Neither permission gives access to personal data. The app requests no privacy-sensitive permissions on iOS.
The optional enquiry form
The app's first screen offers an "Enquire about MAS" option for people who do not have an activation code and would like to know more about MAS. This form is entirely optional. You can use the app without ever opening it, and it is not shown once the app is activated.
If you choose to submit an enquiry, we collect only what you type into the form:
Company name (required)
Your name (required)
Email address (required)
Phone number (optional)
Your message (optional)
Purpose. This information is used solely to respond to your enquiry about MAS products. It is sent to MasterSoft's sales enquiry mailbox.
Legal basis. We process these details on the basis of your consent, given by submitting the form, and our legitimate interest in responding to a business enquiry.
We do not use enquiry details for advertising, add them to a marketing list without your agreement, sell them, or share them with third parties for those parties' own purposes.
The form also contains a single hidden field used to detect automated spam submissions. It is invisible to people and is expected to be left empty; nothing you can see or type is affected.
Information stored on your device
When you activate the app, the following is stored locally using the operating system's secure storage (Android Keystore, or the iOS Keychain):
An activation token, so you do not have to re-enter the activation code each time.
Your company code and company name, to display and to address requests correctly.
The following non-sensitive preferences are also stored on the device:
Your chosen language.
Your chosen theme (light or dark).
A display preference for stock reorder levels.
This information stays on your device. It is removed when you deactivate the app from within the app, or when you uninstall it.
Enquiry form details are not stored on the device. They are sent to us and then cleared.
Information sent to our servers
When you use the app, it contacts the MAS API at https://api.mastersoft-hk.com to:
Validate your activation code when you first activate.
Retrieve product, stock and company information for your company only.
Deliver an enquiry, if and only if you choose to submit the enquiry form.
Requests for stock and product data carry the activation token so the server can identify which company's data to return. No personal identifiers are transmitted with those requests.
The business data shown in the app - products, stock levels, and company details - belongs to your employer. Your employer decides what is stored and who may access it (it is the data controller); MasterSoft handles that data only on your employer's instructions (as its data processor).
Where the data is held. The MAS database is hosted for your employer by MasterSoft on Microsoft Azure. Microsoft acts as our hosting sub-processor and does not use the data for its own purposes.
We protect the hosted database with access controls and encryption in transit, we do not use your employer's business data for our own purposes, and we do not sell it or disclose it to anyone except as your employer instructs or the law requires.
Analytics, advertising and tracking
The app contains no analytics SDK, no crash-reporting SDK, no advertising, and no third-party tracking libraries. Nothing about your usage is profiled, sold, or shared, and no data is used for advertising. We do not track you across other apps or websites.
Data sharing
We do not sell or rent your information, and we do not share it with third parties for their own purposes. We use a small number of service providers who process data only on our instructions:
Microsoft Azure - hosting for the MAS API and the MAS database.
An email relay provider - used only to deliver enquiry form submissions to us.
Neither uses the data for its own purposes.
Security
All communication between the app and our servers is encrypted using HTTPS (TLS). The app is built so that it can only connect to the production API over an encrypted connection; plain, unencrypted connections are blocked.
The activation token is held in the operating system's secure storage, which is protected by the device's own security.
Data retention
The activation token and cached company details remain on the device until you deactivate the app or uninstall it. Your company's administrator can revoke an activation at any time, which immediately invalidates the token on the device.
Enquiry details are retained only as long as needed to deal with your enquiry and to keep a record of the business correspondence, and are then deleted. You may ask us to delete them sooner at any time - see "Your rights".
Business data in the MAS database is retained according to your employer's own policies. We retain it for as long as your employer's licence or service agreement remains in force, and we delete or return it afterwards in line with that agreement.
Children
MAS vStock is a workplace tool intended for business use. It is not directed at children and is not intended for anyone under 16.
Your rights
If you have submitted an enquiry, you may ask us to provide a copy of the details you sent, correct them, or delete them. Contact us using the details below and we will action the request.
Apart from enquiry submissions, the app does not collect personal information, so there is normally no personal data for us to provide, correct, or delete.
The business data shown in the app is controlled by your employer. If you wish to access or correct that data, or to have your device's access revoked, please contact your company's MAS administrator.
Changes to this policy
If this policy changes, the "Last updated" date above will be revised. Significant changes will be communicated through your company's administrator.
